1.     Introduction
Portico Publishing Ltd uses information about individuals to circulate our magazine Modern Building Services and to send out our newsletters: MBS eFocus and MBS Insider.

We are committed to safeguarding the privacy of individuals on our circulation list, and of people who visit our website (www.modbs.co.uk).

With this in mind, we have updated our Privacy Policy in line with the new General Data Protection Regulation which comes into force from 25thMay, 2018.

In this policy, "we", "us" and "our" refer to Portico Publishing Ltd.

2. How do we collect information about you? 
Information comes from either yourself directly, employers, organisations or institutions of which you may be a member, or publicly-available data sources which you have consented to be a part of. 

 

3. What information do we collect?
Your name, nature of work, and work contact details (postal address, email address). 

4. How do we use your data? 
Modern Building Services collects and stores data under the Legitimate Interest clause of the GDPR, for the sole purpose of supplying Modern Building Services magazine and associated information to relevant individuals in the UK Building-Services industry. 

We never sell or share your data with third parties other than our print distribution house for mailings, and the Audit Bureau of Circulations. 

Modern Building Services provides technical and timely news and information to people within the Building Services industry. 

5. How we store your personal data
Personal data is held on the Portico Publishing database. This is held on a secure server which is not accessible except to Portico directors and specific members of staff. Both the server and the database are password-protected and these are regularly updated. 

6. The data we hold and how we use it 
The data we hold on individuals consists of: 

(a)Your title and name

(b)Your job title 

(c)The company you work for

(d)The postal address

(e)We may in some cases also hold your email address

6a. Modern Building Services magazine - circulation
The data we hold is used to mail copies of MBS magazine on our circulation list. The data is processed for creation of the mailing list for MBS magazine each month. The legal basis for this processing is legitimate interests, namely our interest in supplying a technical magazine to a professional readership.

6b. E-newsletter: MBS Insider and MBS eFocus
We may process your email address where available for sending two types of E-newsletter: MBS eFocus and MBS Insider. The legal basis for processing is our legitimate interests, namely the promotion of MBS magazine or products from interested third parties. 

As required by the Privacy and Electronic Communications Regulations (PECR) we will always offer you the option to opt out of further contact via this method. An unsubscribe button is provided on every email communication for this purpose.

7. Our use of Cookies

When you view our website (www.modbs.co.uk) we may store information on the hard drive of your computer or on your mobile device in the form of a "cookie" (essentially a small text file). Cookies are widely used by website owners in order to make their websites work, or to work more efficiently, as well as to provide reporting information.

8. Sharing your data with others 

We disclose your personal data to Warners Printers Ltd for the purposes of mailing a copy of MBS magazine to individuals on our circulation list. We have obtained legal assurances from our printers about how they handle our data; which is supplied to them via a secure server. The printers do not hold your data permanently, but delete the circulation used for producing mailing labels each month. This allows us to provide up to date circulation information for each issue of the magazine.

We may disclose small amounts of data to the Audit Bureau of Circulations (ABC)for the purpose of auditing our circulation list. This ensures that our list is up to date and is as accurate as possible.

We NEVERdisclose your data to third parties for the purpose of marketing or selling. 

In addition to the specific disclosures of personal data set out in this privacy statement, we may disclose your personal data where such disclosure is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person.

9. Retaining and deleting personal data

Personal data that we process for any purposes shall not be kept for longer than is necessary. 

We will retain your personal data as follows:

(a)      Your name and addresswill be retained for a minimum period of one year following your first receipt of MBS magazine, and for a maximum period of three yearsfollowing the first receipt of MBS magazine. 

(b)      Or until you request that we remove your name from our circulation list (see below); or you click unsubscribe from one of our e-Newsletters.

10. Requesting removal from our database or emailing lists

We hope that you find MBS a useful and enjoyable read, but you may request removal from the MBS magazine circulation list at any time and unsubscribe from our e-Newsletters automatically. 

The GDPR requires that we keep records of requests to be removed from the circulation, so if you no longer wish to receive the magazine, please use the unsubscribe option (D) which you will find under the SUBSCRIPTIONS heading on the home page.

We promise to remove you from the magazine mailing list within 90 days of receiving the form.

Our e-Newsletters (MBS eFocus and MBS Insider) have unsubscribe buttons on the footer and you can simply click this for immediate removal from the list. 

 11.   Your rights

You may instruct us to provide you with any personal information we hold about you; provision of such information will be subject to: 

(a)   the payment of a fee (currently fixed at GBP 10); and

(b)   the supply of appropriate evidence of your identity. In this case we will accept the supply of the reader number that appears after your name on the magazine’s polythene wrapping.

We may withhold personal information that you request to the extent permitted by law.
